This Privacy Policy explains how König & Weber Services GMB Ltd (“we”, “us”) collects and uses personal data when you use PDFdesk at koenigweber.com. We process personal data in accordance with the UK GDPR and the Data Protection Act 2018.

1. Who we are

König & Weber Services GMB Ltd is a company registered in England and Wales (company number 16489947), registered office: Flat 1, 27 Hathaway Road, Croydon, United Kingdom, CR0 2TQ. We are the data controller for the personal data described in this policy. Contact: support@koenigweber.com.

2. Your documents are processed locally

PDFdesk’s tools run entirely in your browser. The files you merge, split, rotate, watermark, number or convert are read and processed on your own device and are never uploaded to, or stored on, our servers. We cannot see the contents of your documents.

3. Data we collect

We collect only the data needed to operate your account and the Service:

  • Account data — email address, name (if provided) and hashed password;
  • Subscription and billing data — your plan, billing history and payment status (bank account details for SEPA Direct Debit are handled by our payment provider, not stored by us);
  • Support correspondence — messages you send to our support address;
  • Technical data — IP address, browser type and usage events (e.g. sign-ins, number of tasks run) used for security, rate limiting and service improvement;
  • Cookie data — as described in our Cookie Policy.

4. How and why we use your data

  • To provide the Service and manage your account (performance of a contract);
  • To process subscription payments and prevent fraud (performance of a contract; legitimate interests);
  • To respond to support requests (performance of a contract);
  • To secure and improve the Service, including aggregate usage statistics (legitimate interests);
  • To send service emails such as billing notices and material changes to terms (performance of a contract / legal obligation);
  • To run optional analytics, only where you have consented via the cookie banner (consent).

We do not sell personal data and we do not use it for third-party advertising.

5. Sharing & international transfers

We share data only with service providers who help us run the Service — hosting, email delivery and payment processing — under contracts that restrict their use of the data to providing those services. Where a provider processes data outside the UK/EEA, we rely on adequacy regulations or standard contractual clauses to protect it.

6. Retention & security

Account data is kept while your account is active and deleted or anonymised within 90 days of account closure, except where a longer period is required for legal, tax or accounting purposes. Billing records are kept for 6 years as required by UK law. We protect data in transit with TLS and restrict internal access to those who need it.

7. Your rights

Under the UK GDPR you have the right to access, rectify and erase your personal data, restrict or object to its processing, data portability, and the right to withdraw consent at any time where processing is based on consent.
